7 Questions To Ask Your Exhibition Stand Builder

An exhibition stand is a large investment into your company's marketing strategy. With any large investment you should always question what products and services you are receiving for your money. To help you understand more about the exhibition stand process and what kind of questions you should ask, we have compiled a list of the most common questions we are asked about exhibition stands.


1. How can I help design the stand? 

We need a lot of input from you to create an exhibition stand. You may not have an idea of how you want the whole the stand to look, but you will have an idea of what you want to display on your stand, and that information is valuable. Designing an exhibition stand can be difficult. There is a lot of balancing the aesthetic effects and the practicalities of the stand. Because of this balancing act, the more information that you can have on what you would like to display or how you would like the stand to function is important. 

Once you are provided with a design, any specific feedback is incredibly helpful. Sometimes you might receive a design that you really don't like, so providing specific feedback about what you would like to change can save time and money, and a lot of headaches for the designer! There are no hard feelings if you dislike a design. At the end of the day, stand builders want to provide you with the right solution for your budget and brand guidelines. 

 

2. How much can I fit in my stand space? 

Essentially, you can fit as much or as little as you want to have on the stand, although it's not always recommended to have as much as you can fit. A crowded stand is not ideal! It means that customers won't be able to step on your stand. That really defeats the purpose of exhibiting! 

When you have a stand designed for you, there will be recommendations on what you can fit on the space. These recommendations can be for practical purposes, for example if you have large couches close to you storage room you may not be able to open the door, so therefore it will be recommended to use a smaller couch or rearrange your stand space. 

If you follow the recommendations on how to fit your exhibition space you will have greater success with your exhibition stand. 

 

3. Can you help me organise services for my exhibition stand? 

Yes we can, however it is often cheaper for you to organise services for your stand yourself. The exhibition organiser will have a range of services to offer you such as cleaning services, internet and coffee carts for your stand. We can certainly organise these for you, however we will simply be organising them with the exhibition supplier, and then charging you for our time to organise the services. 

Exhibition suppliers make it easy to organise services through the exhibitor portal so if you have the time, it's better to save your money and organise services yourself. If you are short of time and can afford it, we will be more than happy to organise any services you require. 

 

4. Do I speak to the same person throughout the whole process? 

In our business, we have different teams who all work on an exhibition stand at different times. For the most part, you will have a dedicated salesperson who is in charge of your exhibition stand and you will be able to contact them at any point with any questions or concerns you may have. 

You may speak with other members of our team about your exhibition stand if they reach out with specific questions as it occurs in the job, but our team is always across each element of your exhibition stand, so you won't be constantly explaining who you are. 

 

5. Why do I need to pay a 75% deposit? 

It can be a bit of a shock to some exhibitors that there is a 75% deposit to be paid immediately once they sign off on a design. The reason for this deposit is simple, almost all of the costs relating to your exhibition stand are due before the show. Paying the 75% deposit will put your stand into production, and without this deposit work won't begin on your exhibition stand. A deposit of this amount or similar is common practice in Australia when purchasing an exhibition stand. 

Your deposit will pay for all of the costs that are associated with your exhibition stand, such as materials, labour and logistics. The quotation that you have been provided should include all necessary costs and result in a turn-key stand. 

 

6. How can I save money on my stand? 

This can be a common questions, affecting around 50% of exhibitors. Sometimes exhibitors don't realise how expensive it can be to purchase a stand, sometimes exhibitors would like many items on their stand but this isn't inline with their budget. To save money on your stand you need to compromise on design, or you need to plan your stand with plenty of time before the show. 

Speaking with an experienced exhibition designer will help you with an understanding of the best way to save money on your stand. Often simple changes such as flooring, graphics and custom made products can drop the price of your stand, however it is important to understand that these changes will change the look of your exhibition stand. Often exhibitors ask if they can save money by installing the stand themselves, however this rarely ends up saving you money. In fact, it costs you more time, which means you end up spending more money on the stand. If you are worried about how much the stand will cost, it's much better to provide an accurate budget when you are first speaking with a stand builder.

 

7. Do I need to do anything prior to the show? 

You can sit back and relax (after you have created your artwork and submitted it) before the show knowing that your stand will be created and installed for you. All you need to do is turn up on to the show ready to sell!
